Before the chat assistant, I was answering the same questions on WhatsApp at 11pm most nights — order enquiries, delivery areas, custom cake requests. It took two weeks with Bijak Labs and now the assistant handles probably 70% of those without me. The setup wasn't confusing, and they showed my staff how to update the replies when our menu changes.

I was a bit sceptical. Small practice, just three of us, and I wasn't sure AI tools were meant for firms like ours. The workflow session was useful — they didn't try to sell us everything, just asked what took up our time. We ended up with two tools for drafting client follow-up emails and one for organising incoming documents. The time saved is noticeable, particularly at month-end.

The reporting dashboard has genuinely changed how I look at my stock. Before, I had data in three different spreadsheets and never felt I had a clear picture. Now I check one page on Monday mornings and know what's moving and what isn't. It took longer than I expected — about five weeks — but the result is something I actually use every week.

I'll be honest — I was mostly trying this out because my nephew kept saying I should. I'm not technical at all. What surprised me was that the Bijak Labs team didn't make me feel behind for not knowing things. They explained the chat assistant in terms of what it would actually do for my shop, not in tech terms. Setup went smoothly and it handles stock enquiries from my regulars now. Four stars because I'd like slightly faster replies to my questions during the project, but the outcome was good.

Managing enquiries during school holiday periods is always overwhelming. Parents messaging at all hours, many asking the same things — trial class schedules, fees, age groups. The assistant handles this now and we've seen a drop in the time my admin staff spends on repetitive WhatsApp replies. The tone was adjusted to sound like us, which I appreciated. The team was patient when I asked for changes.

We were running our monthly sales reconciliation manually across four product categories. It took two days each month and was error-prone. The reporting companion condensed that into a dashboard we check in under 15 minutes. It took us a few weeks to agree on what we actually needed from the reports — that was the longer part — but the team was patient and the end result is genuinely useful.

A closer look at three projects
Reducing after-hours enquiry load for a PJ bakery
Challenge
Owner was managing 20–30 WhatsApp enquiries per evening — mostly repeat questions about orders, availability, and delivery areas. It was cutting into personal time and sometimes causing delays in responding to genuine order requests.
Solution
A WhatsApp-based AI assistant built using the bakery's 40 most common questions. The assistant was tuned to match the shop's friendly, informal style. A simple internal guide was created so staff could update answers when offerings changed seasonally.
Result
Approximately 70% of evening enquiries now handled by the assistant. Owner reports reclaiming 1–2 hours per weeknight and no longer needing to have her phone in hand after 8pm. Project completed in 12 days.
Reducing manual admin at a three-person accountancy practice
Challenge
Two of the firm's three staff members were spending significant time drafting similar follow-up emails and sorting incoming documents from clients. This was taking priority away from billable work, especially around month-end.
Solution
Two AI tools introduced — one for generating and adjusting follow-up email drafts from short prompts, one for sorting and labelling incoming documents. Tools were connected to software the practice already used. Full written guides produced at handover.
Result
Staff report roughly 3–4 hours saved per week per person on the covered tasks. Month-end document processing time reduced noticeably. The firm found the adjustment period manageable — staff were comfortable with the tools within the first week of use.
Turning unused stock data into weekly visibility for a retailer
Challenge
An online clothing retailer had sales and stock data spread across three separate spreadsheets updated by different team members. Reconciling them took hours and the owner rarely had a clear current picture of which products were performing.
Solution
A consolidated dashboard pulling from the existing spreadsheets, showing weekly sell-through by category, low stock alerts, and a simple top-performing items summary. Built to be readable in under 10 minutes without any data background required.
Result
Owner now reviews the dashboard each Monday morning. Stock reordering decisions that previously took a half-day's spreadsheet review now take under 20 minutes. Monthly check-in arrangement taken up to keep the dashboard accurate as product range changes.
